Associate Intake Specialist

As an Associate L1 Intake Specialist at Wipro Technologies-USA, you will be a vital part of our Business Process Services team, primarily focused on delivering efficient and accurate processing of customer requests and documentation within a fast-paced environment. This role requires exceptional attention to detail, the ability to manage multiple tasks simultaneously, and a strong commitment to providing excellent customer service.

Key Responsibilities include:

  • Performing a variety of clerical and administrative functions following established guidelines to support operational workflows.
  • Operating under immediate supervision, effectively handling incoming customer communications via fax, email, and phone to identify and process requests accurately.
  • Utilizing multiple tools and computer systems concurrently, including navigating through various computer screens to locate pertinent information and carry out assigned tasks.
  • Exercising sound judgment and problem-solving skills to make independent decisions within the scope of the tools and processes provided.
  • Quickly learning and applying new information and procedures to daily responsibilities, demonstrating learning agility.
  • Maintaining a positive and professional demeanor that contributes to a productive and collaborative workplace.
  • Monitoring queue systems such as Get Next to ensure timely handling and processing of requests, minimizing backlogs and improving workflow efficiency.
  • Managing return mail and scanning documents into the workflow system accurately to maintain documentation integrity.
  • Processing Enrollment Services Folder requests and related mail with high accuracy and attention to detail.
  • Cataloguing member requests and correspondence received through email, fax, or postal mail by indexing and organizing documentation systematically.
  • Coordinating and facilitating the mailing of necessary documentation to members, supporting the Work From Home (WFH) Customer Service team.
  • Performing print services and other ancillary tasks as needed to support team objectives.
  • Assisting with other duties as assigned to support team and business needs.

Minimum Qualifications and Core Competencies:

  • A positive attitude with a sincere commitment to delivering superior customer service.
  • High School Diploma or GED is required; further education is a plus.
  • Experience range from entry level to up to 5 years in related clerical or customer service roles is acceptable; prior experience in a fast-paced office environment is advantageous.
  • Proficient computer literacy, especially with Microsoft Office Suite applications, enabling effective task management and documentation handling.
  • Physical ability to lift between 15-20 pounds as part of routine duties.
  • Strong communication skills with the ability to convey information clearly and positively, fostering effective interactions with team members and customers alike.
  • Comfortable multitasking and managing competing priorities efficiently while maintaining accuracy.
