Accounting and Administrative Assistant
Location: Tampa, FL (ideally, to allow for occasional in-person collaboration with colleagues), other locations in Mid-West or East Coast considered.

Salary: $50,000 – $60,000

The Role
The role is a broad scope bookkeeping and administration position, with exposure to our Payroll, Tax and Accounting specialists. We are looking for a highly organised professional, keen to roll up their sleeves and get involved in any task. The successful candidate will be diligent and have friendly and efficient client communication skills. They will be able to work autonomously whilst maintaining accuracy and consistency. They will take responsibility for the accounts payable and receivable activities for our clients, including payroll liaison with external providers.

Key Responsibilities
Accounting & Tax Support:
- Assist accounting and tax teams as needed, liaising via Teams calls, chat, and email
- Prepare and send invoices to clients
- Prepare payments and pay suppliers
- Receive and deposit client payments
- Maintain the General Ledger
- Support managers with year-end closing activities
- Prepare payroll
- Assist managers with tax administration tasks
Administrative & Office Support:
- Assist with mail pick up and e-distribute mail
- Support ad hoc office management and administrative duties or projects
- Book travel and log expenses in our systems
- Help arrange travel, events, and team gatherings
- Stock and maintain the office and prepare it for meetings
- Manage the coordination and purchase of staff gifts for birthdays, recognitions, and other ad hoc events
Skills and experience required:
- Bachelor’s degree in Finance, Accounting, or Business Administration, or relevant work experience
- Understanding of bookkeeping and accounting principles
- Familiarity with accounting software
- U.S. payroll experience is an advantage
- Strong software and Excel aptitude, with a willingness and motivation to develop any areas where further skills are needed (eg pivot tables, formulas).
- Fluent in English with excellent verbal and written communication skills
- Strong organizational and time management abilities
- Professional, courteous, and proactive approach to internal and client communication
