Administrative Assistant, Academics
The Administrative Assistant will provide administrative support to the IMG Academic department by assisting in the management of the day-to-day operations including general clerical, receptionist and project based work. Projects a professional and positive image through all interactions.
Position Responsibilities
- Broad range of administrative and support tasks to assist with the running of a dynamic school environment including, but not limited to: greeting students and families, answering phones, managing an active calendar of appointments, monitoring/responding to emails, project-based work and composing, handling or preparing confidential correspondence.
- Assist with tutor scheduling and payments.
- Assist the Attendance Office as needed
- Assist with calendars and confidential incoming/outgoing communications of academic leadership, coordinate meetings, prepare agendas and meeting notes, coordinate delegation of follow-through, and track progress/results
- Plan and coordinate various internal and external events including campus tours, Parents Weekend, Faculty and Staff events, College Fair, School Day Testing, Graduation, Intersession, etc.
- Coordinate and order office, school supplies and textbooks while maintaining records on office space, phones, parking, and office keys.
- Adhere to all company policies, procedures and business ethic codes, and all rules of governing agencies including the NCAA and FHSAA.
- Other duties as assigned
Knowledge, Skills and Abilities
- Associates degree or related experience
- Proficiency with MS Office (Outlook, Excel, Word, PowerPoint & OneNote)
- Must have an understanding of an educational and athletics environment
- Must exercise discretion and independent judgment
- Must be able to interact with staff at all organizational levels
- Understanding of FHSAA rules education and compliance
- Ability to assist in the organization and planning of events
- Ability to handle confidential information
- Highly organized with the ability to juggle multiple projects
- Excellent written and verbal communication skills
Preferred Skills
- Bachelors in education, business, marketing, finance or related field
- Bilingual
Physical Demands and Work Environment
- Ability to lift, move, push and pull equipment or boxes in excess of 40lbs.
- Ability to move around academic building
