Administrative Assistant, Academics

The Administrative Assistant will provide administrative support to the IMG Academic department by assisting in the management of the day-to-day operations including general clerical, receptionist and project based work. Projects a professional and positive image through all interactions.

 

Position Responsibilities

  • Broad range of administrative and support tasks to assist with the running of a dynamic school environment including, but not limited to:  greeting students and families, answering phones, managing an active calendar of appointments, monitoring/responding to emails, project-based work and composing, handling or preparing confidential correspondence.
  • Assist with tutor scheduling and payments.
  • Assist the Attendance Office as needed
  • Assist with calendars and confidential incoming/outgoing communications of academic leadership, coordinate meetings, prepare agendas and meeting notes, coordinate delegation of follow-through, and track progress/results
  • Plan and coordinate various internal and external events including campus tours, Parents Weekend, Faculty and Staff events, College Fair, School Day Testing, Graduation, Intersession, etc.
  • Coordinate and order office, school supplies and textbooks while maintaining records on office space, phones, parking, and office keys.
  • Adhere to all company policies, procedures and business ethic codes, and all rules of governing agencies including the NCAA and FHSAA.
  • Other duties as assigned

 

Knowledge, Skills and Abilities

  • Associates degree or related experience  
  • Proficiency with MS Office (Outlook, Excel, Word, PowerPoint & OneNote)
  • Must have an understanding of an educational and athletics environment
  • Must exercise discretion and independent judgment
  • Must be able to interact with staff at all organizational levels
  • Understanding of FHSAA rules education and compliance
  • Ability to assist in the organization and planning of events
  • Ability to handle confidential information
  • Highly organized with the ability to juggle multiple projects
  • Excellent written and verbal communication skills

 

Preferred Skills

  • Bachelors in education, business, marketing, finance or related field
  • Bilingual

 

Physical Demands and Work Environment

  • Ability to lift, move, push and pull equipment or boxes in excess of 40lbs.
  • Ability to move around academic building
